AIA

Custom operational systems

We connect your tools into a systemthat handles repetitive work.

We connect email, CRM, spreadsheets, documents and other tools into one reliable workflow — with less copying, fewer errors and a clear next step.

When work stalls between systems

The most costly processes are often not complicated. They are simply fragmented.

Data arrives by email, someone copies it into a spreadsheet, another person enters it into the CRM, and a third searches for the latest version of the document. Each step is small. Together, they take days of work every month.

01

Context gets lost

Decisions and corrections remain in emails, messages and people's heads instead of in the process.

02

The team copies data instead of making decisions

Capable people spend their time copying, checking and assembling data from multiple sources.

03

Errors surface too late

Without clear checkpoints, missing data and incorrect versions are only discovered at the end.

The AIA approach

AIA does not add another layer of work. It builds connections between existing steps and keeps human review where judgment matters.

Three areas. One way of thinking.

The system starts with the workflow, not the tool.

The areas differ, but the methodology remains the same: a clear input, agreed rules, human oversight and a useful output.

01 / Sales

Sales systems

We connect lead capture, cleansing and enrichment with qualification, the CRM and timely follow-up. Sales gets context, not another spreadsheet.

  • leads from events, webinars and forms
  • enrichment and qualification rules
  • CRM handoff, reminders and follow-up
02 / Operations

Operational systems

We connect meetings, onboarding, documents, approvals and internal handoffs into a workflow that makes it clear what happens, who reviews it and what comes next.

  • meeting-to-action workflows
  • onboarding and internal handoffs
  • approvals, documents and notifications
03 / Data

Data and reporting

We combine data from spreadsheets, APIs, accounting exports and documents into a verifiable result — a report, dashboard or prepared material for further work.

  • automated monthly reports
  • billing and accounting materials
  • validation and anomaly detection

What a working connection looks like

Fragmented inputs become a controlled workflow.

Email, CRM, documents and data are only inputs. Value is created when rules and checkpoints turn them into a clear result.

How we work together

We understand the process first. Only then do we build.

A pilot is not a presentation. It is a limited system running on real data that lets us quickly validate the logic, edge cases and measurable impact.

  1. MAPPING

    Understanding

The process, inputs, responsibilities, exceptions and risks become clear.

  2. VALIDATION

    Pilot

One real workflow gets a measurable target and human oversight.

  3. IMPLEMENTATION

    System

Integrations, logging, security and documentation for production use.

  4. GROWTH

    Improvements

Monitoring results and expanding to the next process when it makes sense.

Technical implementation and business judgment

The system is built by someone who also understands the process behind it.

I have been developing software solutions for more than seven years and systematically optimizing internal business processes for the past three years.

I founded AIA to bridge the gap between consulting that stops at ideas and large development projects that often take months to demonstrate value.

Is AIA the right partner?

We create the most value where the process is already real enough to be painful.

Entry criteria

Good fit

  • You have a recurring process and enough volume for manual work to already cause delays or errors.
  • Your data is fragmented across emails, spreadsheets, the CRM, documents or multiple teams.
  • You want to start with a limited pilot and validate its impact on a real use case.
  • You are looking for a partner who can understand the process, build the system and then improve it.
Outside the threshold

Probably not the right fit

  • You are looking for a one-off, generic AI solution without a clear process and accountable owner.
  • The process is performed completely differently each time, and the team is not willing to define it first.
  • You want to remove all human decisions, even where risk, judgment or relationships are critical.
  • The main objective is to add as many new tools as possible, not to achieve a measurable business result.

Frequently asked questions

Clear before we start.

What exactly is a custom operational system?

It is a connected workflow that brings together your existing processes, data and tools. It may include forms, email, CRM, documents, APIs, automation and AI, but the core is always the same: a clear input, verifiable rules, an accountable owner and a useful result.

Do we need to replace the tools we already use?

As a rule, no. We first assess what already works and build connections around the existing environment. We recommend replacing a tool only when it represents a genuine constraint or disproportionate cost.

Where do you use AI in the system?

Where it is useful for understanding unstructured data, classification, summarization or preparing a draft. Critical rules, validation, permissions and human oversight remain separate. AIA does not sell AI as a label, but as part of a process that works.

How do you know whether a project is worthwhile?

Before we begin, we determine the current time commitment, frequency, cost of errors and desired result. If the impact cannot be meaningfully measured or automation would cost more than the problem, we say so before implementation.

Why do you start with a pilot?

A pilot limits risk and quickly shows how the system performs on real data. This lets us validate the business logic, edge cases and how the team will use it before a larger implementation.

What happens when the system makes an error?

A production workflow includes logging, clear alerts and checkpoints. For sensitive decisions, the system prepares a draft and a person approves it. The goal is not to hide errors, but to ensure they are visible, traceable and correctable.

Do you only work with large companies?

The best fit is growing B2B companies with teams and recurring processes where the savings are already meaningful. Size alone is not decisive; volume, clear process ownership and willingness to run a pilot matter more.

How much does a project cost?

Scope depends on the process, integrations, risks and required level of production reliability. That is why there is no public price list. After the initial review, you receive a clearly defined next step and scope proposal with no hidden line items.

Next step

Where does your process stall today?

In a brief call, we review where manual work occurs, what is worth connecting and which pilot would demonstrate results fastest.
